I. Opening
A. The meeting was called to order by Max Evans at 3:52 P.M.
II. Approval of Minutes
A. Max Evans asked for a motion to approve the minutes of the
December 8, 1993, meeting of the State Records Committee.
B. Joan Kelly moved to approve the minutes as recorded and the
motion was seconded by Will Fehr. The motion passed unanimously,
C. Jeff informed the committee of his receipt of a copy of the
letter the Board of Pardons sent to Richard D. Thomas giving him
permission to see the records he had requested. Therefore the
hearing was cancelled. He added that he had received a letter
from Mr. Thomas today, appealing the Corrections fee structure.
The committee agreed that Jeff should write and tell him that
the committee could not nadle the fee issue.
III. Approval of Records Series Retentions and Dispositions for the Months
of January and February 1994.
A. Jeff Johnson explained the item on the change memo:
1. Aerial spray reports. Municipal General Schedule. Schedule
25. Mosquito Abatement Records. It was suggested that the
retention be changed from "Retain for 2 years and then
destroy," to "Retain permanently with authority to weed."
It was felt that these records would have historical and
medical research value. We contacted the people involved
and they said it would be fine for them to permanently
retain them. If it is a burden to them they would send
them to the Archives.
